AI for clinics: what it does at the front desk and calendar.

Dental clinic front desk with the receptionist on the phone

Is there such a thing as an AI agent for clinics?

Yes. An AI agent is a program that talks with patients in writing or by voice, checks the clinic's information and carries out tasks, such as opening the calendar and booking a slot. It works on WhatsApp, Instagram, the website or the phone.

Its scope is administrative. It handles the repetitive front-desk work: answering common questions, booking, confirming, rescheduling and sending reminders. Decisions about the patient's health stay with the dentist, doctor, physical therapist or aesthetics professional in charge.

This limit must be written into the agent's rules and be visible to the patient. When a question goes beyond scheduling, prices or hours, the agent says it will pass the conversation to the team. More on handling these chats is in the customer service articles.

What does an AI assistant do at the clinic front desk?

The tasks that take up most of the front desk's time are the ones AI handles best:

  • Questions about hours, address and parking. The same answers every day, at any hour.
  • Prices and insurance. AI gives the price of the visit or procedure and which insurance plans the clinic accepts, based on the table the clinic set up.
  • Booking. It shows open slots, reserves the chosen one and records name and phone number.
  • Confirmation and reminders. One day before, it sends a confirmation. If the patient cannot come, it offers another slot and frees up the spot.
  • Pre-approved instructions. General guidance the clinic wrote and the professional approved, such as arriving early or bringing previous test results.

One WhatsApp detail: a confirmation sent a day ahead usually falls outside the 24-hour window that opens when the patient writes. In that case, Meta only allows an approved template message. That is why reminder texts are registered and approved in advance.

For clinics that get many calls, the AI voice assistant does the same work by phone. On WhatsApp, the service is WhatsApp customer service.

What should AI never answer at a clinic?

Any question that depends on a professional assessment leaves the AI and goes to the team. That includes:

  • whether a symptom is serious or can wait;
  • which medication to take, at what dose, or whether a treatment can be stopped;
  • which procedure suits the patient's case;
  • reading a test, a photo of a lesion or a lab result.

In these cases, the AI replies that the question will be reviewed by the professional and alerts the team with a summary of the chat. If the patient describes an urgent situation, the guidance set by the clinic is to seek urgent care right away, and the front desk receives an alert.

These rules are written with the clinic's technical lead before the agent goes live, and reviewed during the first weeks based on real conversations.

How does AI work in aesthetic and dental clinics?

The base is the same, but the questions change by specialty.

Aesthetic clinic

Many messages arrive on Instagram and WhatsApp asking about procedure prices, session length and packages. AI answers with the clinic's price list, shows open slots and books the assessment. Recommending a procedure for each person stays with the professional, during the assessment.

Dental clinic

Here, the main tasks are rescheduling and follow-ups. AI confirms the appointment, offers another slot when the patient cancels and reminds them of the follow-up set by the dentist, such as a cleaning every six months. Questions about pain or treatment go to the dentist.

Medical practice, physical therapy and psychology

The focus is scheduling and insurance. In psychology, confidentiality matters even more, so the AI works only with name, phone number and time slot.

How does LGPD treat patients' health data?

Brazil's General Data Protection Law (Lei Geral de Proteção de Dados, Law 13,709/2018) defines health data, in art. 5, II, as sensitive personal data. Art. 11 limits the cases in which this kind of data can be processed. They include the data subject's consent, given in a specific and prominent way for specific purposes, and health protection, in procedures carried out by health professionals, health services or health authorities.

For an AI assistant, this turns into practical rules:

  • Collect only what is needed to book: name, phone, time slot and, if relevant, insurance.
  • Do not ask for or store symptoms, photos or test results in the chat with the AI.
  • Limit which team members see the chats and log who accessed them.
  • Use providers that state where data is stored and for how long.

The medical record stays in the clinic's system, out of the agent's reach. The guide AI and LGPD explains the rest in more detail.

Where should a clinic start with AI?

Start with the task that keeps the front desk busiest. In most clinics, that is answering the same questions and confirming the next day's appointments. A safe path:

  1. Gather the price list, accepted insurance, opening hours and general instructions approved by the professionals.
  2. Write down what the AI answers and what goes to the team.
  3. Connect the AI to the calendar the clinic already uses and register the confirmation templates on WhatsApp.
  4. Follow the chats during the first weeks and adjust the answers.

Who it is for

Good to know

Questions we often get.

Can AI give a patient a diagnosis?

No. Diagnosis, treatment recommendations and questions about symptoms stay with the licensed professional. AI handles scheduling and administrative questions.

Does the patient know they are talking to an AI?

They should. The first message says it is a virtual assistant and that the team can take over the chat at any time.

Does AI work with the calendar the clinic already uses?

In most cases, yes, as long as the scheduling system allows connections with other programs. This is checked at the start of the project.

Can I use the WhatsApp Business phone app?

The phone app is free and works for simple quick replies. An AI assistant uses the official WhatsApp API, which Meta bills per delivered message.
