AI for small businesses: a guide by area of the business.

How can a small business use AI?

Artificial intelligence (AI) is the name for programs that read text, understand a question, recognize an image or write an answer. In a small business, it takes over the work your team repeats every day in the same way.

Automation is the other half. It connects one system to another so information moves on its own: a customer message becomes an order, the order goes into the spreadsheet, the spreadsheet feeds the report. AI steps in wherever someone would otherwise have to read something or make a simple decision.

In practice, the path that works has four steps:

  1. List the repetitive tasks. For one week, write down what your team does more than ten times a day.
  2. Measure the time. Note how many minutes each task takes today. Without that number, nobody knows if the change paid off.
  3. Pick just one. Start with the task that takes the most time and carries the least risk, such as answering opening hours or entering invoices.
  4. Review before expanding. Follow the first weeks closely, fix wrong answers and only then bring AI into another area.

How to do the time math

Picture a front desk that answers the same question about opening hours 40 times a day, and each reply takes two minutes between opening the chat, typing and checking. That is 80 minutes a day, almost seven hours a week, on that alone. This math shows whether a task is worth automating. Do the same calculation for each item on the list and compare.

It also helps to note the risk of each task. Getting the opening hours wrong annoys a customer. Getting a charge wrong or sending one customer's data to another causes real damage. Start with tasks where a mistake is easy to spot and fix.

The guide how to start using AI in your business covers each step, and the AI glossary for businesses explains the terms you will run into.

What does Sebrae say about AI in small businesses?

Sebrae, the Brazilian agency that supports micro and small businesses, published the survey Digital Transformation in Small Businesses (Transformação Digital nos Pequenos Negócios) in August 2026, together with the Meta Research Institute. It covered 7,182 interviews between March 24 and May 8, 2026, with sole proprietors (MEI), microbusinesses and small companies.

  • 52% of small business owners used AI in the two weeks before the interview.
  • 60% plan to adopt or expand AI use in the following six months.
  • Among small companies (EPP), use reached 61%. In the services sector, 62%.
  • Among those not planning to adopt AI in the next six months, 38% say the reason is not knowing what AI can do.
  • 90% of small businesses that use AI did not change their headcount because of it in the previous six months.

The same survey shows the most common use was improving tasks the team already did (28%). The second most cited use was creating new functions (19%).

This group also carries real weight in the economy. According to Sebrae, small businesses add up to 24 million active companies and account for 26.5% of Brazil's GDP.

For a business owner, the practical reading is this: half of small businesses already use some AI, and the main reason others stay out is not knowing what it does. That is why this guide goes area by area, with concrete examples.

How does AI help with customer service?

This is where most businesses start, because the questions repeat: opening hours, address, price, availability, delivery. An AI assistant on WhatsApp answers these at any hour, books appointments, records orders and hands the chat to a person when the topic goes off script.

To do this, the business uses the official WhatsApp API, called the WhatsApp Business Platform. An API is the official link between two systems that lets one send data to the other. The WhatsApp Business phone app is free, but Meta charges for the API:

  • Billing is per delivered message, based on the message category (marketing, utility, authentication, service) and the country of the recipient's number.
  • Messages the customer sends to the business are free.
  • Since October 1, 2026, each business number gets 1,000 free service messages per month. Charges start at message 1,001, and unused quota does not roll over.
  • Once the customer writes, a 24-hour window opens for free-form replies. Outside it, the business can only send a template message approved by Meta.

Per-message prices in Brazilian reais are listed in the table on Meta's pricing page and change from time to time.

When the chat should go to a person

Agree in advance on the situations in which the AI stops answering and calls someone on the team: a complaint, a discount request, a question it cannot find in the knowledge base, a customer asking to talk to a person. In practice, the team member receives the chat with its full history and picks up from there.

Customer service can also happen by phone. The AI voice assistant picks up calls, answers common questions and takes messages. See examples in AI in customer service and our WhatsApp service.

What does AI do in admin, finance and accounting?

A large share of office work is copying information from one place to another. AI reads the document, picks out the fields and puts each piece of data where it belongs.

Admin

It organizes the calendar, fills in records from messages, writes the first draft of contracts and proposals and tracks deadlines. A person always reviews the draft before it goes out. Examples in AI in admin.

Finance

It compares the bank statement with the month's sales and bills, which is bank reconciliation, and flags what does not match. It also builds the cash flow, warns about bills close to their due date and prepares payment reminders for late customers. See AI in finance.

Accounting

It gathers the invoices that arrive by email, sorts each one and gives the accountant an organized package at the end of the month. The accountant remains responsible for taxes and filings. Examples in AI in accounting.

In all three areas, the decision stays with a person. AI prepares, sorts and warns. Whoever pays the bill, signs the contract or files the return is someone at the business or the accountant.

If you want to keep track of everything without opening any system, the automatic weekly report brings sales, expenses and open items together in a summary that arrives every week.

How do AI cameras and spreadsheets help the daily work?

Operations are what happens at the counter, on the floor, in the stockroom and in the kitchen. Two tools help a lot here.

AI camera

A regular camera records. A camera connected to an AI system analyzes the image and sends an alert to the manager when an agreed event happens: a long line at the register, the stockroom door open after hours, a table left unattended for too long. A camera in an area open to the public involves personal data and must follow Brazil's data protection law (LGPD), so the project defines in advance what the camera will look at and who sees the alerts. See AI camera and compatible devices in recommended equipment.

Self-filling spreadsheet

Many small businesses run on spreadsheets, and that is fine. The problem is the time spent typing. With automation, the spreadsheet receives data straight from WhatsApp, forms, email or the sales system. AI reads what came in, fixes the format and puts it on the right row. Examples in self-filling spreadsheet.

What does AI do for images, video and marketing?

Marketing is one of the areas, and AI helps you produce more with the same team. Some uses that already work for small businesses:

  • Posts and captions. AI writes drafts based on the week's photos and offers, and someone on the team approves them. See AI in marketing.
  • Video from photos. Photos of your space become a short video with camera movement, including an aerial look, with no drone needed. Examples in aerial video without a drone.
  • AI clone. An avatar with the owner's face and voice records videos from a script. It is only made with the person's written consent. Details in AI clone.
  • Podcast. A text from your business becomes an audio episode with AI voices. Listen to examples on the Library podcast and see the AI podcast service.
  • Dubbing. A video recorded in Portuguese gets English and Spanish versions, useful for tourism and for selling abroad. See AI dubbing.
  • Competitors. Competitor monitoring tracks public prices and reviews of other local businesses and sends a summary.

In all these cases, a person reviews the material before it goes live. AI gets product names, prices and local details wrong, and someone who knows the business spots it right away.

Which businesses use AI in Brazil?

According to the Sebrae survey, use is highest among small companies and in the services sector. Younger owners, aged 18 to 29, also use it more (78%). In practice, almost every kind of business has a task AI can take over:

  • Restaurants, bakeries and bars: orders and menus on WhatsApp, lines and tables watched by the camera, recipe costing in the spreadsheet. See food service.
  • Clinics and aesthetics: scheduling, appointment confirmation and answers about prices and preparation. See clinics and aesthetics.
  • Shops: catalog on WhatsApp, stock in the spreadsheet, Google reviews. See retail.
  • Salons, repair shops, gyms and offices: booking, quotes and billing. See services.
  • Guesthouses and tourism: bookings, answers in other languages and videos of the place. See tourism and hospitality.

The same rule applies to all of them: when AI handles customer data, the business must follow Brazil's General Data Protection Law (Lei Geral de Proteção de Dados, Law 13,709/2018). For example, it treats health data as sensitive personal data, with stricter rules. The guide AI and LGPD explains the basics.

How much does AI consulting cost for a small business?

The price depends on how many areas are included and how much work keeps running every month. In the market, some charge per project, per hour or per month. Before hiring anyone, ask in writing what is included and what costs extra.

At Lotaloja, prices are public:

OptionPriceBest for
DiagnosticFree, about 3 minutesAnyone who wants to know where to start
Full business analysisR$ 199Anyone who wants a plan by area before deciding
Presença planR$ 2,990 per monthFirst automated area
Crescimento planR$ 4,800 per monthMore than one area at once
Completo planR$ 7,900 per monthAI across every area of the business

Before signing with any provider, ask:

  • Who owns the accounts, numbers and data if the contract ends?
  • What happens when the AI gets an answer wrong, and who fixes it?
  • Which third-party costs fall on the business, such as messages and licenses?
  • How will time saved and errors be measured, month by month?

Ad spend, software licenses and WhatsApp messages billed by Meta are not included in these prices. Details are on plans and pricing, and if you prefer to pay once, see projects with no monthly fee.

Can ChatGPT handle customer service for a business?

A chat assistant like ChatGPT helps a lot in the office: it writes emails, summarizes documents, suggests captions and explains a spreadsheet. To serve customers on its own on WhatsApp, it needs three more things:

  • A connection to the channel. The assistant must be linked to the official WhatsApp API, the phone line or Instagram so it can receive and answer messages.
  • Your business information. Prices, hours, services and rules must be written in a knowledge base the AI checks. Without it, the AI makes up answers.
  • A handoff to a person. Complaints, unusual requests and any sensitive topic should go to someone on the team, with the chat history.

Putting these three parts together is the setup work. If you want to know which area of your business has the most to gain first, take the free diagnostic. The Library shows ready examples for each area.

Good to know

Questions we often get.

Do I need to understand technology to use AI in my business?

No. The technical team builds and maintains the automation. The owner sets the rules, approves the answers and follows the results.

Will AI replace my employees?

In Sebrae's 2026 survey, 90% of small businesses using AI did not change their headcount because of it. The most common use was helping the team with tasks it already did.

Which area should I start with?

With the task that takes the most time and carries the least risk. In most businesses, that means answering repeated questions on WhatsApp or entering data into a spreadsheet.

Does the WhatsApp Business phone app work with AI?

The phone app is free and has quick replies and simple automatic messages. For an AI assistant, the way to go is the official API, which Meta bills per delivered message.

Is my customers' data safe?

It depends on how the project is built. The business should collect only what is needed, limit who has access and follow Brazil's data protection law, LGPD (Law 13,709/2018).
